Part-time, negotiable in the range of 14-24 hours per week over 2+ days

Key Duties
General Administrative Tasks:
- Assisting with ensuring efficient processes are in place for evidencing, instructing, and monitoring grant payments.
- Maintaining and updating grant partner and general operational records and reports.
- Assisting with the regular review and development of organisational standard documentation and systems.
- Supporting the Board, including handling aspects of the meeting lifecycle.
- Data Protection Officer responsibilities.
- Maintaining office equipment and supplies.
Grant Making and Operations Coordination:
- Provide support to the Operations Manager regarding the delivery of grant-making activities; assisting with ensuring that high-quality and proportionate project management is in place across our portfolio of grant giving projects, that funders receive the updates and information they need, and grantees are well supported and able to deliver to their objectives efficiently.
- Act as a point of contact to a range of stakeholders, responding to emails and phone calls in a timely and professional manner.
- Assist with the due diligence process of prospective grant partners.
- Receipt & collation of grant applications and monitoring & evaluation reports; supporting the Operations Manager with the review of project outcomes, and where applicable, propose, agree and implement changes.
Communications:
- Production of visually attractive and accurate presentation of reports and data.
- Updating of the website, social media platforms and promotional materials.
- Assistance with event planning and delivery.
- Attendance and participation in internal and external meetings as required; representing the foundation as required.
Safeguarding/Equal Opportunities/Health and Safety
- Adherence to relevant internal and external policies, procedures and standards.
- Staying up to date with developments in the grant making sector.

- This role has no direct reports.
Financial Accountability
- To work within operational budgets.
- To support income generating activities.

Person Specification – Essential Experience, Skills & Abilities
- Minimum 2 years’ administrative experience.
- Minimum 5 GCSE’s (A-C) or equivalent.
- Good numeracy, oral and written communication skills.
- IT literate with demonstrable experience of Microsoft Office, including Word and Excel.
- Sound planning & organisational skills.
- Ability to report with accuracy and attention to detail.
- Ability to work independently, managing own time and workflow effectively.
- Ability to develop and maintain working relationships with a variety of stakeholders.
- Motivated to learn and develop personally.
- A proactive and professional attitude to work.
Person Specification – Desirable Experience, Skills & Abilities
- Experience in the charity/third sector, including paid, placement or voluntary.
- An understanding/interest in developing skills in Communications.
- Experience/interest in developing skills in using various software platforms, relevant examples for this role include Facebook, Canva, WordPress and Arc GIS.
- Experience/interest in developing skills in Data Protection Officer Responsibilities.
