As our new Counselling and Trauma Co-ordinator you will play a pivotal role at Derry Well Women. You will be responsible for ensuring robust and effective management of all aspects of our high-quality and well-established counselling service.

The postholder will report to The Manager, Derry Well Women.

We are able to offer flexibility with this role with minimum of 30 hours and maximum of 37.5 hrs.  Job shares will also be welcomed.

Responsibilities

Service Delivery

  • Management of the counselling team through effective and supportive leadership, regular and ongoing communication and team working with other colleagues.
  • Responsibility to set up and oversee client and appointment booking and booking management systems and processes.
  • Undertake Initial Assessments of women wishing to access the service and manage the client allocation process, including the waiting list.
  • Ensure appropriate risk assessments are compiled and undertaken as needed
  • Clinical responsibility and safeguarding for clients, supporting counsellors working with child protection or vulnerable adult cases and recording and follow up according to policy and procedures
  • Manage incidents and complaints in line with policies and procedures.
  • Ensure client confidentiality is maintained and ensure record keeping systems are in line with GDPR and any internal data protection policies and protocols.
  • Liaise with relevant agencies to ensure referral routes are developed and maintained.
  • Responsibility of a clinical caseload of 3 clients per week within this allocated contract (for full time post equivalent)
  • Convene and lead quarterly business meetings for the generic counselling team
  • Produce regular reporting, monitoring and evaluation information for both internal use and for funders/external use as required.
  • Ensure all relevant policies and procedures are in place and read and understood as part of counsellor’s induction
  • In conjunction with the Manager, oversee relevant project budgets.

Administrative Responsibilities

  • Undertake all aspects of recruitment and induction of new counsellors
  • Ensure all counsellor attendance records are provided monthly
  • Maintain all relevant monitoring and recording systems ensuring the implementation by all counsellors of CoreNet system
  • Manage annual tendering process and review and update ongoing contracts
  • Oversee diary management of counsellor’s hours.
  • Ensure counsellors report on appropriate supervision and be main point of contact and liaison for group supervisors.
  • Ensure British Association for Counselling and Psychotherapy (BACP) or equivalent requirements are upheld and that governance arrangements are in place to monitor this.
  • Maintain all relevant monitoring and recording systems for funding bodies
  • Develop and deliver awareness induction for the counselling service and any other relevant training to counsellors, as well as ensuring counsellors attend training relevant to their needs, signposting accordingly.
  • Ensure central data is collected and kept up to date
  • Provide written updates to ensure good flow of communication and sense of connection to the organisation.
  • Responsibility for all written request in relation to the Counselling service to include requests for case notes by clients, courts etc ensuring to work within Derry Well Women’s GDPR policy
  • To complete monthly purchase orders
  • To provide information, data or relevant reports to the manager and/or committee as required for annual reports, Committee Meetings etc as required

Service Development

  • Meet with partner agencies to ensure collaborative working relationships and referral routes are developed and maintained.
  • To attend funders meetings, workshops and events
  • To regularly audit and assess the needs of women victims who use Derry Well Women services
  • Contribute to internal discussions around how we continue to develop the service to respond to changing community need, using monitoring and evaluation data to contribute to this information, discussions and planning.
  • Support the Manager and Committee in strategic planning and ongoing organisational development

Other

  • Work in accordance with the organisation’s policies and procedures, including equality and diversity, health and safety, confidentiality, safeguarding, financial, lone working, etc.
  • Attend relevant meetings, conferences and training as part of continuing professional development.
  • Work as part of the wider staff team at DWW, including attending team meetings and regular support and supervision sessions with the Manager and Committee
  • Carry out any other duties which may be reasonably required of the post holder relevant to the main purpose of this post.

 

These responsibilities will be reviewed annually and may be subject to change.

Education and Knowledge

Recognised Degree/Diploma in counselling. E

Excellent knowledge of issues facing women communities, including women victims and those who may be particularly marginalised and vulnerable E

BACP (or equivalent) accredited E

Ability to make use of counselling supervision (evidenced by a counselling supervisor’s statement) E

Experience

Experience of using CORE evaluation systems or equivalent E

Experience of working in a community setting and knowledge of the issues related to communities who have experienced high levels of trauma, health inequalities and disadvantage E

Experience of managing safeguarding issues E

Experience of providing professional supervision (Individual/group) D

Skills and Qualities

Excellent communication skills E

Understand the importance of confidentiality and when it is appropriate to share confidential information E

High level of computer literacy, including familiarity using Outlook, Office, Zoom/Teams, etc E

Ability to work as part of a team, working with counsellors, as well as using own initiative E

Excellent organisational and time management skills, able to manage, prioritise and plan in relation to service demand and own and others workload E

Capacity to provide leadership, mentoring and support to Counselling staff E

Ability to gather statistical information and produce high quality written work including evaluation and reporting E

Personal qualities
