TTS urgently requires a Business Support Administrator. This role will involve a substantial degree of social media content creation and administration in addition to having customer-facing duties and dealing with customer enquiries.

Main Purpose of the Role

The Business Support Administrator will actively engage with customers, apprentices, employers and schools to promote the range of training programmes offered at Transport Training Services (TTS). This includes various office duties, dealing with customer enquiries by telephone and face-to-face, attending and organising careers conventions, delivering timetabled careers classes, participating in interview skills days, and other similar events. The role will also involve managing and updating TTS’s social media feeds to maintain a strong digital presence and attract new candidates and partners.

Working alongside our Careers Development Officer, supporting our apprentices during their training programme is also an important part of the role from a pastoral perspective.  This will include having one-to-one time with each apprentice when they attend TTS for their block training weeks.  During this time, you will discuss their progress towards their targeted qualifications and any inhibitors to progress.

Key Responsibilities

  • Support the Administration Team by:
    • Meeting and greeting clients and customers at the reception desk
    • Dealing with customer enquiries relating to bookings for driver training
    • Dealing with bookings for venue hire
    • Processing invoicing on a timely basis

  • Support the Careers Development Officer by:
    • Building and maintaining relationships with local employers to encourage apprenticeship participation.
    • Organising and participating in school engagement activities, including careers fairs, workshops, and other events.
    • Acting as a TTS Ambassador, providing clear information about apprenticeship opportunities to young people, educators, and employers.
    • Carrying out pastoral reviews with all apprentices.
    • Conducting Aptitude Tests of all applicants to the apprenticeship programme
  • Support the Training Director by:
    • Performing data entry to TAMS (computerised apprentice records system).
    • Performing data entry to TTS Database.
    • Processing apprentice milestone achievements to facilitate financial claims.
  • Support the Senior Management Team by:
    • Developing and maintaining content for TTS’s social media platforms, ensuring regular and engaging updates.
    • Collaborating with the management team to create promotional materials and campaigns targeting apprentices and employers.
    • Collecting and analysing feedback from engagement activities to refine strategies for future outreach.
    • Providing regular progress reports to senior management on engagement activities and outcomes.
  • This is an evolving role and duties will be variable.  The above duties are a sample of those which could be assigned.

Required Qualifications/Experience

  • Degree qualified. (Desirable)
  • Commercial experience and/or qualifications in digital media management, including social media platforms. (Essential)
  • Proven track record of working with young people, either in a professional or volunteer capacity. (Essential)
  • At least 5 years of experience engaging with customers or suppliers in a professional environment. (Essential)
  • Experience of working in the automotive sector would be advantageous. (Desirable)

Additional Information

This role will require occasional travel to schools, employers, and events across the region. A full driving licence and access to reliable transportation is essential.
