Main Purpose of the Job

With funding in place, CBPT is looking for an experienced project coordinator to oversee and administer the delivery stage of this project and ensure grant conditions are met. The Project Co-ordinator will be responsible for liaising with our funders and providing all progress reports, monitoring reports, financial information and record keeping required by our funders up to and including completion of the capital works and the launch of the Cushendun Old Church Centre.  The Coordinator will also support the CBPT committee in delivering a programme of community engagement and activities during the construction phase and for a further period following the launch of the Cushendun Old Church Centre. The role will not include managing the building work, this will be the responsibility of the Buildings Project Manager under the appointed architect, however experience of capital projects would be an advantage.

 

Major duties and Responsibilities

The coordinator will be required to:

  1. Ensure compliance with funder requirements, record keeping, book-keeping and day to day project management etc and deal with all correspondence from funders.
  2. Complete HLF Progress reports and payment claims up to and including completion of capital work and launch of the Old Church.
  3. Complete Causeway Coast and Glens Borough Council monitoring reports and payment requests up to and including capital works completion and launch of the Old Church.
  4. On completion of the delivery stage of the project, ensure completion criteria have been met including capital and financial completion, submit final project report, handover project documentation to our main funders.
  5. Manage cash-flow and ensure financial processes and records meet funder requirements.  Agree any expenditure variations or project variations with funders.
  6. Coordinate and liaise with architect and quantity surveyor regarding valuations and release of payments
  7. Present monthly reports and financial update to committee with detailed information on any issues arising and present monthly program of work with specified outputs.
  8. Manage and report on project milestones.
  9. Organise two volunteer training sessions as specified in activities plan.
  10. Ensure funder acknowledgement / logos are displayed  on all stationery and marketing material.
  11. Support committee and Project Administrator to plan and prepare launch event.
  12. Support the committee in delivering the HLF funded activities programme including publicising events and registering participants for workshops.
  13. Support the committee in providing a post launch programme of  activities and classes as outlined in the  HLF activities plan
  14. Carry out monitoring and evaluation of the delivery stage of the project and collect baseline data to measure the difference the project makes
  15. Design monitoring and evaluation methods for the post launch stage of the project
  16. Ensure the project complies with all legal requirements including but not limited to; Health and Safety, Child and Vulnerable Adult safeguarding, Equality Policy taking appropriate action where necessary.
  17. Undertake any other work appropriate with the evolving objectives of the post as may reasonably be requested.
