This post requires the person to have working experience of providing administration support to senior managers within a thriving organisation. Applications can be requested by telephone or email.

This post is 25 hours per week, £17,714.00 pro rata, it is based within the Ardmonagh Family Centre.
The purpose of the job is to support the organisation and co-ordination of office operations, procedures and resources for the organisation.

MAIN DUTIES AND RESPONSIBILITES

Maintains office services by organising office operations and procedures; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.

Assists in the provision of historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.

Maintains office efficiency through the implementation of office systems, layouts, and equipment procurement.

Assists in the recruitment, selection, orienting, and training employees.

Helps to establish and maintain appropriate systems for measuring necessary aspects of HR development

Monitor, measure and report on HR issues including keeping records of employees' sick days, overtime, annual leave days

Create a file for each individual employee which should include any information relating to that employee from the first day of employment.

Providing support for a range of meetings including Board Meeting and SMT Meeting

Preparation, collation and distribution of papers prior to meetings in a timely manner including meeting agendas, pre-meeting briefings and meeting papers

Acting as a key liaison between the senior managers and other key parties, setting up meetings as appropriate and maintaining effective communications

Ensure security and confidentiality of data

Contribute to the evaluation and development of HR strategy and performance in cooperation with the senior management team

Maintains professional and technical knowledge

As nominated safety co-ordinator liaise with our health and safety consultant to ensure that we are adhering to our health and safety practices

Monitor the usage of first aid kits and replenish stock when necessary

Ensure that there is adequate supply of stationery and equipment in the office.

Assure information to be communicated to staff, committee members etc. is followed through.

Coordinate the repair and maintenance of office equipment.

To adopt a flexible approach to working hours of duty.

To undertake any other duties which may be reasonably requested.
