The successful applicant will be responsible for advancing all aspects of casework and assisting the Member in providing a professional, high quality, reliable and responsive service to constituents in the East Belfast constituency. The post is part-time
Main Responsibilities and duties
- Providing full range of admin and secretarial support (including typing, emails, phone calls, mail, filing, photocopying, minuting of meetings, etc.)
- Assisting with MLA’s diary arrangements
- Keeping records of all transactions involving MLA’s expenditure
- Ordering and managing stationery stock/office equipment
- Attending meetings/conferences as required
- Updating and maintaining databases and maintenance of file management systems to comply with Data Protection requirements
- Managing and monitoring incoming calls and inquiries
- Providing information and advice to constituents on a range of issues
- Monitoring Assembly Legislation and debates relevant to constituency matters
- Maintaining up-to-date knowledge of relevant legislation
- Planning and organising events
- Assisting MLA with preparation for events, visits, questions and motions
- Liaising with groups in the constituency and with the general public on the MLA’s behalf
- Responding to correspondence and enquiries from constituents, the media, lobbyists and pressure groups
- Dealing with complex queries and complaints on MLA’s behalf including drafting and signing letters
- Gathering relevant information to resolve or progress cases, including liaising with government agencies, voluntary sector and others
- Attending surgeries, tribunals and meetings as appropriate
- Ensuring all casework is logged, monitored and actions identified and completed
- Ensuring enquiries are dealt with sensitively and confidentially
- Building relationships with business, community and other relevant groups in the Constituency
- Any other duties as required in support of the MLA carrying out their Assembly duties.
Remuneration
In line with the Determination of the IFRP, this is advertised as a Grade 2 Post.
Starting salary of £11, 850 p.a. (£19,750 pro rata) (Salary range £11,850 - £13,500)
