Part time Administrator/ Financial Officer (22.5 hrs) based in Derry

JOB DESCRIPTION

JOB TITLE                             Part Time Administrator/Finance Officer

RESPONSIBLE TO                Director

SALARY                                NJC Scale 5.22

HOURS                                 22 ½ hours per week

Responsibilities:

To answer telephone, receive and meet people,

To answer queries and provide information to clients, the general public and relevant statutory bodies.

To provide high quality administrative support ensuring that resources available are used efficiently and effectively.

To carry out reprographic and collation duties as required

To prepare minutes, management accounts and other supporting documentation as required

To organise and maintain filing systems – electronically and manually.

To prepare and maintain all accounting records including monthly financial reports for the Board.

To assist team in preparing recruitment forms, attendance forms and programme materials

To ensure all relevant documentation for financial claims required by funding bodies can be processed and verified within the specific time period.

To operate the PAYE system including calculation of salaries, pensions and completion of monthly and annual returns in respect of statutory requirements.

To ensure all reports are completed, expense forms and invoices are paid in a timely manner.

To receive and record fees/documentation made by training providers/tutors.

To prepare agendas, minutes and other related documentation for all board meetings.

To assist in preparation of promotional pamphlets and posters.

To operate and maintain Health and Safety at Work procedures.

To respect the absolute confidentiality of the work carried out by the PFC.

To carry out any other reasonable requests or activities deemed appropriate by the Board of Directors.
